R&M Engineering Consultants, LLC (“R&M Engineering,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, store, and share information when you visit or use the Access Floor Portal at this site (the “Portal”).
By using the Portal you agree to the practices described here. If you do not agree, please do not use the Portal.
Information We Collect
Account information
When you create an account we collect your name, email address, company name, phone number, and a password. Passwords are stored as salted hashes by our authentication provider (Supabase) and are never visible to R&M Engineering staff.
Anonymous sessions
To reduce friction, the Portal may create a temporary anonymous session when you begin a request before signing up. The anonymous session is identified by a session cookie only and contains no personal information until you choose to create an account. Anonymous sessions and any unconverted request data are automatically deleted after 24 hours.
Project and request data
When you submit a request we collect the information needed to prepare your engineering deliverable, including: project name and address, geographic coordinates, building and floor parameters, seismic design inputs, manufacturer and floor-system selections, equipment information, and any files you upload (such as specification sheets or drawings).
Payment information
Payments are processed by Stripe. Card numbers, CVV codes, and full billing details are entered directly into Stripe’s payment elements and are never transmitted to or stored on R&M Engineering servers. We retain a Stripe Checkout session identifier, the amount paid, the date of payment, and the last-four digits and brand of the card (provided by Stripe) for accounting and dispute handling.
Technical information
We collect standard web-server logs (IP address, user agent, timestamps, requested paths) generated automatically by our hosting provider. We use HTTP-only session cookies issued by Supabase to keep you signed in. We do not currently use third-party analytics or advertising cookies.
Contact Us submissions
When you submit our Contact Us form we collect the information you provide (name, email, phone, company, project state, subject, and message), along with your IP address and user-agent string. The IP and user-agent are used for spam prevention and abuse triage. We retain Contact Us submissions for up to 12 months after the inquiry is resolved, or longer if needed to maintain a record of our correspondence with you.
How We Use Information
- To create and operate your account.
- To prepare the engineering recommendation, calculation package, or custom design you requested.
- To process payment and issue receipts.
- To deliver completed work to you and to communicate about your requests.
- To comply with legal, regulatory, and professional-licensure obligations.
- To improve the Portal and to maintain its security, reliability, and performance.
Service Providers (Sub-processors)
We rely on the following third parties to operate the Portal. Each processes the information described above only as needed to perform its function for R&M Engineering.
- Supabase — Authentication, database, and file storage. Stores account data, request data, and any files you upload.
- Stripe — Payment processing. Receives the information needed to charge your card and issue receipts.
- Cloudflare — Secure tunnel between the Portal and the calculation server that runs your engineering analysis.
- R&M Engineering calculation server — Runs the Mathcad analysis. Receives the project and request data needed to produce your deliverable.
- Google Maps — Renders the address-selection map on the request form. May receive your IP address and approximate location while the map is displayed, subject to Google’s privacy policy.
- Cloudflare (Turnstile) — Bot-detection challenge on the Contact Us form. Receives a short-lived challenge token and your IP address to determine whether the submission is automated.
- Resend — Transactional email delivery. Receives the content of staff notifications and submitter confirmations sent in response to Contact Us submissions.
How We Share Information
We do not sell your information. We share information only:
- With the service providers listed above, as needed to operate the Portal.
- With your express direction (for example, when you ask us to send a deliverable to a colleague).
- When required by law, court order, or to enforce our agreements and protect the rights, property, or safety of R&M Engineering, our clients, or others.
- In connection with a corporate transaction such as a merger, acquisition, or sale of assets, in which case the recipient will be bound by this Privacy Policy or terms at least as protective.
Data Retention
We retain account and request data for as long as your account is active and for a reasonable period afterward to support engineering recordkeeping, professional-licensure obligations, and accounting requirements. Anonymous sessions and any unconverted request data are deleted automatically after 24 hours. You may request deletion of your account at any time by contacting us using the details below; we will honor the request subject to records we are required to retain by law or by professional engineering standards.
Security
We use industry-standard safeguards including HTTPS in transit, encryption at rest by our hosting provider, HTTP-only session cookies, role-based access controls, and row-level security on our database so that you can only access your own requests. No system is perfectly secure; if you believe your account or data has been compromised please contact us immediately.
Your Choices and Rights
You may update your account information from the Account page, request a copy of your data, or ask us to delete your account. If you are located in a jurisdiction with additional privacy rights (such as the European Union, the United Kingdom, or California), you may have rights to access, correct, port, or restrict our processing of your information; contact us using the details below to exercise those rights.
Children
The Portal is intended for use by professionals and businesses. We do not knowingly collect personal information from children under 13.
Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will update the “Effective” date above. Material changes will be communicated by email or through the Portal.
